Features that Make the Difference for You

Whether you’re opening CROOW for the first time, or simply trying to maximize your effectiveness in our application, you’ve come to the right place! Welcome to our user guide, a step-by-step instruction manual that can help ground you in your CROOW experience. Ahead, we’ll help you set up a workspace, request an approval on a project, upload your brand assets, and much more.

We will be updating this guide as improvements are made to CROOW in the future. We aim to be the best creative collaboration tool on the high seas so you can work like a captain, play like a pirate.

1 Workspaces

Step 1 - Commandeer your ship with workspaces

  1. Using the menu bar at the top of the screen, click ‘Workspace’ on the left-hand side
  2. Click ‘Add Workspace’
  3. Input a Workspace Name – this could be the name of a project, a client, a team, or a marketing initiative
  4. Invite fellow CROOW members to the workspace using their name or email address
2 Approvals

Step 2 - Request feedback from your crew with approvals

  • Using the menu bar at the top of the screen, click ‘Approvals’ on the left-hand side
  • Click ‘drop asset here’ to upload a file, PDF, or video
  • Click ‘Approval Name’ to input the asset’s title
  • Click to assign CROOW members to the approval
  • Click  to add a due date
  • Click to assign the approval to a specific workspace
  • Click on the file itself to add feedback. Once your cursor transforms into a number, click where you would like to place your comment on the file itself. Comment away!
  • Leave general notes using the ‘add comment’ button on the right-hand side.
3 Brands

Step 3 - Save + share your loot AKA brands

  • Using the menu bar at the top of the screen, click ‘Brands’ on the left-hand side
  • Click ‘New Brand’
  • Drag and drop a primary logo
  • Input a Brand Name
  • Grant access to crew members
  • Upload and save additional logos, fonts and colors
  • Toggle between your brand assets using the ‘logo, font, color’ menu on the left-hand side of the screen
4 Tools

Step 4 - Create your own treasure with tools

  • Using the menu bar at the top of the screen, hover over ‘Tools’ on the left-hand side
  • Click ‘Concepting’
  • Click your new template of choice
  • Click the next button on the right-hand side
  • Choose to upload new images, colors, and text OR reference brand assets that are already saved
5 To-Do’s

Step 5 - Don’t be a salty pirate because you forgot something - use to- do’s

  • Click  in the top right-hand corner
  • Click the ‘Add To-Do’ button in the top right-hand corner
  • Type in a title for the ‘to-do’
  • Type in a description if desired
  • Click  to assign CROOW members to the ‘to-do’
  • Click  to add a due date
  • Click  to assign the ‘to-do’ to a specific workspace
  • Click  to link the ‘to-do’ with an approval
6 Time Tracking

Step 6 - Avoid getting lost at sea by time-tracking

  • Click  in the top right-hand corner.
  • Add a description of your task
  • Click  to assign the task to a workspace or project
  • Click  next to your newly-named task in order to start the clock.
  • When you’re ready to take a break, click

CROOW was built for creative collaboration no matter the size or aims of your agency. However, depending on the role you play on your team, there are different ways to get the most out of CROOW.

Ahead, we highlight special features and best practices for roles across your agency. Whether you’re a project manager, videographer, freelancer or agency lead, we’ll share our top tips for using CROOW.

1 Creative Agencies

CROOW + Creative Agencies

Share approvals publicly or privately among colleagues by easily copying and pasting the provided access links. Clients and crew members alike can view these links through CROOW, via email, Slack, or any other chat system.

Maximize efforts by first uploading assets to your brand library. Then the files can be assigned, reviewed, updated – and the entire process tracked and saved.

Toggle between pre-existing templates when using the concepting tool. Once again, if your brand assets are uploaded, you’ll be able to source them here.

2 Project Managers

CROOW + Project Managers

Utilize calendar view for an overview of your crew’s monthly tasks. If you prefer the checklist mode that’s fine too, but calendar view helps crews to see the big picture.

Invite your crew members to relevant workspaces so that you can assign to-do’s, provide deadlines, and add material for revision and approval. All activity tracked in one place, so no one has to walk the plank.

Follow along with your crew’s progress by viewing their activity log. They can filter their report by activity type and/or date if they choose, and with the click of a button, export an excel document for your reference.

3 Video Teams

CROOW + Video Teams

If video is your primary medium, you’ll probably need our premium usage package. The free version only allows videos that are 10M or less.

For optimal collaboration, upload videos in mp4 format.

To comment directly on video, simply use your cursor to click and drop pins. The pin will automatically track the initial timestamp of the comment, letting you adjust the end time. The pins can also be selectively hidden or displayed during video playback.

Once a comment has been reviewed, you don’t need it cluttering your screen. Feel free to archive it, so you can refer back later if need be.

4 Freelance Marketers

CROOW + Freelance Marketers

Utilize the keyboard shortcuts when wireframing to save yourself time. Simply click m, I, and t, on your keyboard to toggle between commands while creating mockups.

Never lose track of work with the time-tracking tool. Label various activities and initiate the timer to record your efforts. You can even assign each activity to a designated workspace to organize by project or client.

Invite clients to join via email in order to seamlessly collaborate and receive feedback on brand assets and marketing material.
