Features that Make the Difference for You

Whether you’re opening CROOW for the first time, or simply trying to maximize your effectiveness in our application, you’ve come to the right place! Welcome to our user guide, a step-by-step instruction manual that can help ground you in your CROOW experience. Ahead, we’ll help you set up a workspace, request an approval on a project, upload your brand assets, and much more.

We will be updating this guide as improvements are made to CROOW in the future. We aim to be the best creative collaboration tool on the high seas so you can work like a captain, play like a pirate.

1 Workspaces

Step 1 - Commandeer your ship with workspaces

  • Hover over the menu bar on the left-hand side of the screen. Once it expands, click ‘Workspace’ to get started.
  • Click ‘New Workspace.’
  • Input a Workspace name – this could be the name of a project, a client, a team, or a marketing initiative.
  • Invite fellow CROOW members to the workspace using their name or email address.
  • Click ‘Add Workspace.’
2 To-Do’s

Step 2 - Don’t be a salty pirate because you forgot something - use to- do’s

  • Click  in the top right-hand corner
  • Click the ‘To-Do’ button on the drop-down menu.
  • Type a title for the to-do.
  • Type a description if desired.
  • Click the paperclip icon in the bottom left-hand corner of the window if you wish to upload an attachment.
  • In the top right-hand corner of the window:
  • Click  to assign CROOW members to the ‘to-do’
  • Click  to add a due date
  • Click  to assign the ‘to-do’ to a specific workspace
  • Click  to link the ‘to-do’ with an approval
3 Assets

Brands

  • Hover over the menu bar on the left-hand side of the screen. Once it expands, click ‘Assets’.
  • Click ‘Brands’ on the drop-down menu.
  • Click ‘New Brand’.
  • Drag and drop a primary logo.
  • Input a brand name.
  • Grant access to crew members by typing a name or email address.
  • Input terms and conditions, if desired.
  • Make public by un-clicking the ‘Private’ checkbox in the bottom left-hand corner of the window.
  • Upload and save additional logos, fonts, and colors using the ‘logos, colors, fonts & images’ menu on the left-hand side of the screen.
  • Toggle between your brand assets using the ‘logo, font, color’ menu on the left-hand side of the screen.
4 Tools

Request

  • Hover over the menu bar on the left-hand side of the screen. Once it expands, click ‘Project Tools’.
  • Click ‘Requests’ on the drop-down menu.
  • Click ‘New Request’ to get started.
  • Choose a template type.
  • Tip: choose ‘CROOW Template’ to explore additional form template options.
  • Assign to a crew member by typing their name.
  • Choose a start date and a due date by clicking the date bar and utilizing the drop-down calendar.
  • Type a description.
  • Upload assets if desired.

Approvals

  • Hover over the menu bar on the left-hand side of the screen. Once it expands, click ‘Project Tools’.
  • Click ‘Approvals’ on the drop-down menu
  • Click ‘Drop asset here’ to upload a file, PDF, or video
  • Click ‘Approval Name’ to input the asset’s title
  • In the top right-hand corner of the window:
    • Click  to assign CROOW members to the approval
    • Click to add a due date
    • Click to assign the approval to a specific workspace
  • Click ‘Create’
  • If you’d like to revise your approval once it’s published, click the ‘View Details’ button below your approval.
  • You can now:
    • Add additional users by clicking in the top right-hand corner.
    • Share the approval using a public or private link by clicking ‘Share’ in the top right-hand corner.
    • Leave general notes using the ‘Add Comment’ button on the right-hand side.
    • Add feedback by clicking the file itself. Once your cursor transforms into a number, click where you would like to place your comment on the file. Comment away!

Time-Tracking

  • Hover over the menu bar on the left-hand side of the screen. Once it expands, click ‘Project Tools’
  • Click ‘Time Tracking’ on the drop-down menu.
  • Add a description of your activity.
    • Click to assign the task to a workspace or project.
    • Click next to your newly-named task in order to start the clock.
    • When you’re ready to take a break, click to pause. If you’re done with the task for the time being,  you can click to end tracking.
5 CROOWSTOCK

Step 5 - See the world with our CROOW Stock gallery

  • Access CROOW Stock by visiting https://stock.croow.com.
  • Type a keyword into the search bar to look for a specific image.
  • To explore a collection of images, hover over the left-hand menu and select a category under the ‘Photos’ drop-down.
  • To explore a collection of icons, hover over the left-hand menu and select a category under the ‘Icons’ drop-down.
  • To create your own collection of photos, hover over the left-hand menu, and under ‘My Collections,’ select ‘New Collection.’ Name your collection, and then click ‘create’ to start adding images to it.

We haven’t forgotten about the details. CROOW is made for creatives, project managers, marketers, and pirates of all kinds, but we recognize that all digital gurus are different. That’s why we are constantly improving CROOW’s capabilities. Here are some up-to-date productivity tips and tidbits based on your specific role and setting.

1 Creative Agencies

CROOW + Creative Agencies

Share approvals publicly or privately among colleagues by easily copying and pasting the provided access links. Clients and crew members alike can view these links through CROOW, via email, Slack, or any other chat system.

Maximize efforts by first uploading assets to your brand library. Then the files can be assigned, reviewed, updated – and the entire process tracked and saved.

Toggle between pre-existing templates when using the concepting tool. Once again, if your brand assets are uploaded, you’ll be able to source them here.

2 Project Managers

CROOW + Project Managers

Utilize calendar view for an overview of your crew’s monthly tasks. If you prefer the checklist mode that’s fine too, but calendar view helps crews to see the big picture. You can even filter your calendar to see what you’ve assigned out, in addition to your own tasks.

Invite your crew members to relevant workspaces so that you can assign to-do’s, provide deadlines, and add material for revision and approval. All activity tracked in one place, so no one has to walk the plank.

Follow along with your crew’s progress by viewing their activity log. They can filter their report by activity type and/or date if they choose, and with the click of a button, export an excel document for your reference.

Submit requests to your team members based on their individual role and project. Whether it’s a new webpage, social media content, or a sale brochure – there’s a request template on deck.

3 Video Teams

CROOW + Video Teams

If video is your primary medium, you’ll probably need our premium usage package. The free version only allows videos that are 10M or less.

For optimal collaboration, upload videos in mp4 format.

To comment directly on video, simply use your cursor to click and drop pins. The pin will automatically track the initial timestamp of the comment, letting you adjust the end time. The pins can also be selectively hidden or displayed during video playback.

Once a comment has been reviewed, you don’t need it cluttering your screen. Feel free to archive it, so you can refer back later if need be.

4 Freelance Marketers

CROOW + Freelance Marketers

Utilize the keyboard shortcuts when wireframing to save yourself time. Simply click m, I, and t, on your keyboard to toggle between commands while creating mockups.

Never lose track of work with the time-tracking tool. Label various activities and initiate the timer to record your efforts. You can even assign each activity to a designated workspace to organize by project or client.

Invite clients to join via email in order to seamlessly collaborate and receive feedback on brand assets and marketing material.

CROOWStock is here mateys! Our built-in stock photo generator is filtered by tags and image type. Long gone are the days where you searched the seven seas for the perfect stock photos – hurrah!
